This policy explains what information ArborSmart collects, why we collect it, who we share it with, how long we keep it, and what you can do about any of it. It is written to be read, not to be survived.
The short version. We collect what you send us through our forms and what your business puts into our software. We set no cookies. We do not sell your information, and we do not run advertising trackers. Reviews are only published if you consent and we approve them, and we never publish your email address. You can ask us to show, correct, or delete anything we hold, at any time, without giving a reason.

ArborSmart is business management software built for tree care companies. We operate the websites at arborsmart.com and getarborsmart.com, and the application at app.arborsmart.com.

This policy covers two different situations, and it matters which one you are in.
You browse our site, fill in the interest form, or leave a review. We decide what to do with that information, so we are responsible for it directly. Sections 3 and 5–7 are the relevant ones.
Your business puts its own records into our software — customers, jobs, employees. In that case your business decides what goes in and what it is used for, and we hold and process it on your behalf in order to run the service. We do not decide to use your business records for our own purposes. See sections 4, 8, and 9.

We use this only to contact you about ArborSmart and to understand which of our efforts actually reach people.
When you leave a review or complete our post-demo survey, we store your star rating, your written answers, how many crews you run if you tell us, and optionally your name, company, and email address. We also record the source and user-agent as above.
Reviews are never published automatically. A review appears publicly only when two separate conditions are both true: you indicated we may quote you, and we have separately approved it for publication. Consent alone never publishes anything. Your email address is never published under any circumstances — only the words you wrote and, if you gave them, your name and company. If we publish a quote from someone with a business connection to us, we say so underneath it.
You can have a published review taken down at any time by emailing us. We will not ask why.
We use Cloudflare Web Analytics to count page visits and see which pages people read. It is privacy-first by design: it sets no cookies, does not fingerprint your device, does not build a profile of you, and does not follow you to other websites. We see aggregate numbers, not individuals.
Like any website, our hosting records basic technical information about requests, including IP address, in order to serve pages and protect against abuse. We do not use these logs to identify individual visitors.
If your company is a customer, the application holds the records your business creates and enters, which typically include:
This data belongs to your business, not to us. We hold it to run the service for you. We do not sell it, mine it, rent it, or use it to advertise to anyone. We do not use one customer's data to benefit another.

That is the complete list. If we ever want to use your information for something genuinely new, we will ask first.
Our website sets no cookies at all — not for analytics, not for advertising, not for anything else. There is no cookie banner because there is nothing to consent to. We run no advertising pixels, no social media trackers, and no cross-site tracking of any kind.
The application at app.arborsmart.com stores your login session and preferences on your own device so you stay signed in and so it can work offline. That information stays on your device and is not a tracking cookie.
We do not sell your personal information. We have never sold it and we have no plans to. We do not share it with advertisers, data brokers, or ad networks.
We share information only in these situations:
Card details are entered directly with our payment processor and are never stored on our servers. Our service providers are based in the United States, and information is stored there.
ArborSmart can show where crews and vehicles are, and can check that a clock-in happened at the job site. This is sensitive, so we are specific about it:
If your business uses the customer portal, your own customers may receive a link to view their jobs, estimates, and invoices, and to pay online. Information they see or submit through that portal belongs to your business. We process it to provide the portal, and for nothing else.

Whoever you are and wherever you live, you can ask us to:
Email hello@getarborsmart.com. We aim to respond within 30 days, and we will not ask you to justify the request or make you hunt for a form. We may need to confirm who you are before releasing information, for your own protection.
If your company is an ArborSmart customer and you are one of its employees or customers, ask that business first — they control their records. We will help them respond.
Texas residents have rights under the Texas Data Privacy and Security Act, including the right to know what we process, to obtain a copy, to correct it, to delete it, and to opt out of targeted advertising, sale of personal data, and profiling.
Two of those need no action from you: we do not sell personal data, and we do not use it for targeted advertising or profiling. The rest you can exercise using the contact address above, and we honour these requests for everyone, not only Texans. If we ever decline a request, we will explain why and how to appeal it.
If you ask us to get in touch, we will. If you tell us to stop, we stop — reply to any message or email us and you are off the list. Service messages relating to an active account, such as invoices or security notices, are not marketing and continue as long as the account is open.
We use encrypted connections (HTTPS) throughout. Access to enquiry and feedback records is password-protected and limited to us. Application accounts are protected by passwords and expiring access tokens, and each company's data is separated from every other company's.
No system is perfectly secure and we will not pretend otherwise. The most reliable protection is not collecting information we do not need, which is the standard we try to hold ourselves to.
If personal information is exposed in a way that creates a real risk to people, we will investigate, fix it, and notify affected customers and any regulator the law requires, without unnecessary delay. We would rather tell you early and plainly than manage the message.
We do not make automated decisions that produce legal or similarly significant effects about anyone. Account approvals are reviewed by a person.
Our site links to other places, including social media and map services. Once you follow a link, that site's own privacy policy applies and we have no control over what they do.
If we change this policy we will update the date at the top of this page. Where a change materially affects people who have already given us information, we will tell them directly rather than relying on you to notice.
